How marketing sync works

Updated 25 Sep 2026

Connect Mailchimp or Klaviyo once, and every guest who opts in syncs automatically after they book.

Connect a destination

Go to Marketing / CRM → Destinations and connect Mailchimp or Klaviyo by pasting an API key and choosing the list to sync to. Each venue connects its own account.

Only guests who ticked the marketing opt-in at checkout are synced. Everyone else is skipped.

What happens after a booking

  1. A confirmed booking adds the guest to a sync queue straight away — checkout never waits on Mailchimp or Klaviyo.
  2. A scheduled job works through the queue and sends each opted-in guest to your destination.

What gets sent

Mailchimp

Klaviyo

Guests are added as profiles (name, email, phone) and subscribed to your list. Klaviyo has no per-profile tags, so add-on tags arrive as a lupo_tags property instead.

Birthday codes

Under Automations, the birthday code automation mints a unique, single-use discount code for each opted-in guest a set number of days before their birthday and pushes it to Mailchimp as BDAY_CODE. Choose the value, how many days ahead, and how long the code stays valid. It needs Mailchimp connected.

When a sync fails

A failed sync — an expired API key, a rate limit, a network blip — retries automatically with increasing gaps. Persistent failures show on the Sync health tile and in the Activity log, which you can filter by destination. Fix the cause (usually the API key), then choose Retry on the destination or Retry all failed.
